Payroll handoff
What Ergira owns, what payroll owns, and the immutable snapshot that passes between them.
HR owns entitlement; payroll owns payment
Ergira is the system of record for what somebody is entitled to — the person, their right to work, the employment agreement, the compensation agreement, leave policy and the leave ledger. Payroll is the system of record for what was paid and reported — pay runs, tax elections, calculated lines, payslips, filings. Ergira implements the HR half.
For the figures HR reports on its own — headcount, turnover, absence and cost — see Workforce reporting.
The snapshot
An immutable snapshot is emitted per legal entity per period. Payroll must never query HR live: HR data is effective-dated and retroactively corrected, so a run re-read in two years would not reproduce what was filed.
- Emitting is idempotent by checksum — unchanged data returns the existing snapshot.
- Changed data writes a new sequence pointing at what it supersedes, and leaves the original untouched.
- Corrections are retro deltas in a later period, never rewrites of a closed one.
Consequences that are easy to get wrong
- Basic pay is stored separately from allowances
- UAE end-of-service gratuity is computed on basic alone, so a single blended salary figure makes it permanently uncomputable. Allowances are their own records against an allowance type.
- Allowance types say what they feed
- Whether an allowance counts toward gratuity, leave pay or overtime bases is recorded here, so payroll knows what to include. HR never computes those figures itself.
- Cash and in-kind are distinguished
- Company-provided housing or a car still carries a value for tax; it is simply not paid out.
- Leave is HR's absolutely
- Payroll consumes the ledger as input and never writes back to it.
- Termination is split
- HR owns the event and the last working day. Final pay, gratuity and accrued-leave payout are payroll's outputs. See Termination and leaving.
- Bank details are neither
- Only a masked reference is held. Real payment details belong to the payments domain.
Integrating a payroll provider
A transactional event stream carries changes as they are committed — an approved leave request carries its computed pay bands, its engagement and its legal entity. Consuming that, plus the per-period snapshot, is how a provider is fed without polling HR tables.
